January 2008 Attendees: Please Fill Out an Event Survey
We are pleased that you are participating in the Western National Roundup. Please read the following for a brief introduction to the event.
Participants' Qualifications:
Youth age 14 and over by January 1, 2007 are eligible to attend. Participating states determine their own selection and sponsorship for individual participants. See eligibility requirements.
Important dates to remember:
- October 6 On-line registration opens
- November 16 Late registration begins ($20 per person)
- December 10 Registration closes
PLEASE NOTE:
In order for the entry to be valid, the Official Authorization Form must be printed and signed by the respective State 4-H Director/Leader or State FFA Advisor and mailed in with full payment to the address above.
Payment:
Full payment must be included with the official authorization form. Checks should be made payable to Western National Roundup.
Cancellation Policy:
All fees and costs associated with any Roundup activity are non-refundable after December 10, including but not limited to all packages, tours, Trail Dust reservations, Pepsi Center, photos and sweatshirts.
Hotel Reservations:
A hotel registration form is posted on the website. December 15 is the deadline for hotel reservations. This is a firm deadline set by the hotel. This form is to be returned directly to the Renaissance Denver Hotel.
Room Billing:
Hotel room charges are the responsibility of each delegation. We suggest that the state coordinator do an early check out Sunday morning to avoid the last minute rush. The hotel will write receipts for those needing them for expense accounts. No out of state tax exemptions are acceptable under Colorado law.
Conference Check-in:
Conference Check-In will be held at conference headquarters at the Renaissance Hotel:
- Wednesday Arrivals: Check-In between 3:00p.m. and 6:00 p.m. on Wednesday
- Thursday Arrivals: Check-In between 9:00a.m. and 4:00p.m. on Thursday.
Late Check-In will be held as needed in the same area. Upon arrival please send one adult to check in your state's entire delegation.
Orientation:
Everyone must attend the orientation offered on Thursday, from 5:00p.m. to 5:30p.m. — Attendance is mandatory as this will be the only opportunity to ask questions, clarify conference procedures and expectations, and receive any schedule revisions. Coaches meetings will follow orientation, as will Youth orientation and mixers.
Health Forms, Media Release Forms, Code of Conduct Forms
These are required for ALL attendees, youth contestants and guests and adult guests. The registration will not be complete until a complete set of forms for each person is turned in with official authorization form and payment.
Flag Ceremony and State Delegation's Responsibility:
Each state will need to delegate one youth participant to carry their state flag in the opening and closing ceremonies. At Conference registration, please notify the conference staff of that person's name. Flag bearers will need to meet at the registration area on Thursday, at 5:30 p.m. for flag practice.
Exchange Items:
Thursday night activities will provide time for exchanging pins, stickers, etc. with other delegates. There are between 800 and 1000 youth in attendance, so please plan accordingly.
Denver Touring and Shopping:
States wishing to visit Denver and the surrounding area on their own should arrange this prior to Thursday, or after the closing activities, Sunday. A link to the Denver Visitors Guide is available on the website.
Collegiate 4-H Volunteers:
Collegiate 4-H members are needed to help each event run smoothly and serve as role models and facilitators to the youth. Please refer to the Collegiate section on the left of this website for information and an application.
National Western Stock Show:
All Roundup participants will receive a National Western Stock Show pass. This will allow entrance into the NWSS and all participants are welcome and encouraged to attend.
Suggested Attire:
A good "rule of thumb" is to wear what you would be pleased to be seen in, fits your personality, and reflects well on you and the organization you represent. Hats are not to be worn at meals. Please be prepared for varying degrees of Colorado winter weather.
- Formal: Business attire, dresses, skirts, suits, tie and jackets, NO jeans
- Opening ceremony

- Casual: Nice shirt, slacks or jeans, sweaters, etc.
